An industrial equipment supplier needed technical product inquiries answered faster. Every email required a specialist to look up parts, check price lists, and re-type similar answers. We built an AI email response agent grounded in their parts lists, price lists, and product documentation, so inquiries get accurate, sourced draft responses that a specialist reviews instead of writing from scratch.
The situation
Inbound technical inquiries were a bottleneck. The answers existed in the company's own parts lists and documentation, but assembling each reply took a specialist's time, and the same questions came in again and again.
What we built
- An n8n-based AI agent that reads an inbound inquiry, retrieves the relevant parts, prices, and documentation, and drafts a reply that cites its sources
- A human review step before anything sends, so the specialist approves or edits rather than composes
- Delivered in phases, with the client independently comparing agent platforms before selecting the n8n build
The constraints we designed around
- Answers had to come from the company's own data, not general knowledge
- No reply could reach a customer without a person approving it
- The tool had to fit the specialists' existing email habits
The outcome
Specialists review drafts instead of writing from scratch, and answers are grounded in the actual parts and price lists. This was a small, fixed-scope engagement, and we describe it that way: the agent does one job well.
